As the first point of contact at the reception, you play a crucial role in shaping a positive impression for our guests and clients.
Working hours: 30 hours per week, Monday to Friday ususally from 9:00 am - 3:00 pm.
Your responsibilities include:
- Welcoming guests and clients, as well as coordinating with suppliers
- Operating the telephone in German and English, handling incoming and outgoing mail, including packages and courier deliveries
- Assumption of tasks in onboarding and offboarding, such as introducing new employees to safety-related instructions (escape routes) and access control to the offices
- Handover of pool vehicles in collaboration with fleet management
- In cooperation with Facility Management: independent coordination of technical repairs, managing and ordering office supplies, beverages, etc.
- Taking over the archiving of documents and organizing and maintaining the archive
- Taking on additional tasks, such as covering during vacation or sick leave in the cafeteria (food distribution)
Qualifications
- Experience as a receptionist or in a similar role
- High level of customer service orientation, coupled with flexibility and commitment
- Experience working with a global team, including an appreciation of cultural differences
- Proficient in MS Office applications, including Word, MS Outlook, Excel, and PowerPoint
- Ability to handle multiple tasks and overlapping priorities, even under time constraints
- Excellent communication skills at all levels, with very good proficiency in German and English
